Company Data

Maintain your company data centrally in Backstage. Address, contact details, and logo are automatically transferred to accounting documents and selected webshop areas, and only need to be updated once when changes are made.

Number Ranges

With numbering schemes, you automatically assign unique numbers to documents and master data. Different schemes ensure clear allocation across sales, procurement, finance, and IT, and can be flexibly adapted to your requirements.

Numbers, Currencies, Date, Time

Customize Backstage to match your regional preferences. Define formats for numbers, currencies, dates, and times that are used system‑wide for views and document outputs such as quotes and invoices.

Currencies

Backstage supports you when working with multiple currencies for vouchers, quotes, invoices, and settlements. All currencies are already predefined; you simply activate the ones you need and define a default currency for your company.

Countries and Favourite Countries

Backstage already provides you with a standard list of more than 200 countries along with detailed information. A key feature is the ability to define favorite countries, ensuring that the entries you use most frequently appear at the top of selection lists.

Languages

Before working in Backstage, you select and configure the relevant languages according to your needs. At least one language is required for media tagging, finance, and the web, complemented by a defined default language with extended functionality.

Salutations

Manage custom forms of address centrally in Backstage. The defined forms of address are available for selection in master data contacts as well as in the registration section of your webshop, and can be expanded or adjusted at any time.

Departments and Job Titles

Use departments (organizational units) and roles (job titles, professional designations) to better organize all your master data and contacts. By default, your system already contains initial records that can be easily edited and expanded.

Contact Types

Document all customers, rights holders, and partner contacts centrally in Backstage. Using defined contact categories and contact types ensures that all communication processes remain transparent, traceable, and can be evaluated in multiple languages.

Bank Codes

picturemaxx provides you with comprehensive bank code data as a foundation for national and international financial information. Thanks to flexible processing, Backstage supports different bank code lengths and allows their use across all financial areas.

Zip Codes

picturemaxx provides you with a foundation for creating your own national and international address book by supplying German postal codes as standard. This data can be accessed in all areas of the system where address information is used.

Logo Lines

Create custom logo lines for your media and assign them to the appropriate archives and partner connections.

Watermarks

Backstage supports the use of watermarks for delivering your media files as thumbnails, previews, and high-resolution images.

Form Editor: Media Processing

With the Form Editor, you can create custom forms for media processing that are precisely tailored to your workflows.

Metadata Preview

The metadata preview allows you to display your metadata directly in the search results. Important metadata fields can therefore be quickly and easily kept in view at a glance.

Media Database Fields

You can activate any of the database fields predefined in the system that you want to be available in various areas of the system, such as media tagging, media processing via actions, or field mapping.

Media Types

Media types, such as IPTC/Caption, form the basis for importing your media’s metadata during the import process.

Delete Original Data

With the “Delete Original Data” function, you can selectively remove format‑based metadata such as EXIF data from your files. This helps prevent incorrect or duplicate metadata and ensures clean and reliable data delivery to your customers.

Media Sizes

You can flexibly define the different sizes of your media that are to be used for marketing, billing, and distribution. For example, size, resolution, and quality can be specified.

IP Restrictions

Every internet-capable device has an IP address that enables targeted data transfer. In Backstage, you can specifically control and restrict access to the website and the system for certain IP addresses.

Visual Recognition Service

Automated image recognition supports you in efficiently tagging your media. Through AI‑based analyses from leading providers, you improve the quality, consistency, and discoverability of your content in Backstage, in the webshop, and in my‑picturemaxx.

Reports in Media Processing

Backstage prüft Dateien bereits vor dem Import und erstellt einen detaillierten Bericht zu nicht übernommenen Medien. Sie sehen klar nachvollziehbar, welche Dateien abgelehnt wurden und aus welchem Grund, während nicht akzeptierte Daten sicher im jeweiligen FTP Eingang verbleiben.

Deletion Tasks

In the Deletion Tasks area in Backstage, you can delete selected media from your archive based on defined selection criteria and in the desired sizes.

Email monitoring

Emails can be sent directly from Backstage, for example with a link to a lightbox or an electronic invoice. The monitoring applies only to outgoing emails sent from Backstage. Backstage does not provide any information on whether an email has actually been delivered to or received by the recipient.
