A: The Lightboxes area contains all lightboxes and baskets, from all users. You can copy the customer's basket into a new lightbox. Here’s how:
- Go to Media Management > Lightboxes.
- Click Quick Search, enter the user’s Name (Access) and hit Enter.
- Open the user’s Basket from the results
- From the bottom-frame lightbox, select Lightbox as Result.
- In the right-hand panel, click Create a New Lightbox, enter a name and save.
- Drag and drop the images from the results into the new lightbox.
How long does a .zip file link last?
A: The zip file link is available for 30 days, after which it is automatically deleted.
How can I add images to a customer’s lightbox?
A: Add images to a customer’s lightbox by switching to their lightboxes and dragging the images into the selected lightbox.
- Go to Media Management > Lightboxes and open any lightbox.
- In the right-hand panel, click View a different user’s lightboxes.
- Use Quick Search to find the customer by name or email, then select them, and click Choose.
- Select an existing lightbox, or:
- If the user has no lightboxes yet, the system sets a default lightbox. You can rename it with the Rename this Lightbox link on the right.
- If the user already has images in the lightbox, you can create a new lightbox with the Create a new lightbox link.
- Search for images using the Search box on top.
- Drag images from the top results area into the lightbox at the bottom.
The images will appear in the customer’s lightbox the next time they sign in. You can also share the lightbox using the Send lightbox Link option on the right.
How can I export metadata from images in a lightbox?
A: To export the metadata from the images in a lightbox, follow these steps:
- Go to Media Management > Lightboxes and open the lightbox.
- In the bottom-frame lightbox, click Lightbox as a Result to display its images in the top frame.
- From the View menu, select Editing to open the images in Media Processing.
- From the Edit menu, select Metadata Export and export the required metadata.
Note
Metadata Export works only for images stored in your local Archive. It is not available for Opengate API images.
Why does the Lightboxes area show Baskets (sometimes with 0 images)?
A: The system saves each user’s Basket as a lightbox, including those created automatically for website users.
When a user logs into the website, the system creates a lightbox for their Basket. This is why you see Baskets listed in Media Management > Lightboxes, even if the Basket is empty and shows 0 images.
This setup lets you easily check what images a customer has added to their Basket at any time.
Why is there only one layout option when printing a lightbox?
A: Lightboxes themselves are limited to one print layout. However, you can access many more print layout options by printing the lightbox images from the Media Processing area instead.
- Go to Media Management > Lightboxes and open the lightbox you want to print.
- In the bottom panel, click Lightbox as Result to display its images in the top panel.
- Choose Select > Select All to select all images.
- Click Edit > Print.
- Choose from the available print layouts and click Print.
Tip
These same print layouts are also available when printing images from your Media Processing folders or Archive.
Can you recover a deleted lightbox?
A: Deleted lightboxes cannot be recovered.
Although it is technically possible to restore a deleted lightbox from backups, the process is extremely complex and time‑consuming. It would take several hours of manual work by an engineer, and our backups are designed for system-wide emergencies, not for restoring individual lightboxes.
What you can do instead:
We recommend asking the customer to recreate the lightbox, or helping them rebuild it by adding the images again.
Can I share multiple lightboxes with one user?
A: You can only share one lightbox at a time with a user. There isn’t currently a way to send multiple lightboxes in a single share.
To share several lightboxes with the same user, you can:
- Use Send Lightbox Link in Backstage to email each lightbox to yourself.
- Copy all the lightbox links into one email.
- Send that email to the intended recipient(s).
This allows the user to access all the lightboxes from one message.
I selected “Override restrictions,” but the customer still can’t see the images. Why?
A: This is expected behavior. If a user does not have permission to view certain images, they still won’t be able to see them on your website, even if you select Override restrictions.
The Override restrictions option is only used when sending a download link. It does not change what the customer can view on the site itself.
What you can do instead: Share a Public Lightbox link
We can enable the Public Lightbox feature for your system. This allows you to make a lightbox public, so anyone with the link can view the images without logging in.
- The system uses a special Public Lightbox access.
- That access shall have permission to see any restricted images in the lightbox.
- If the files in this lightbox are associated with restrictions, make sure to modify the relevant restrictions to provide thumbnail and preview access.
- If your restrictions are complex, you may need to adjust them so the public access can view those images.
